A lack of clarity in the information and instructions provided to a Vendor and Technicians can cause complications upon arriving at the Site. Using Sweven, you can guarantee the efficient use of time and resources for Client satisfaction.

When working on a project, you need to make sure to have a clear vision of the results and a set timeframe for completion and delivery. This includes providing clear instructions on the task to be performed, from the materials to be used, to the current and expected state of the finished work.

Failing to do so, might lead to going over deadlines and going back to the Site to re-do or finish the job more than once.

Sweven can help you provide accurate and timely information to Vendors and Technicians to perform as per your Client’s standards by:

Selecting the right Vendor for the job.

When assigning an external Vendor, Sweven will display the available Vendors covering the trade selected, listing the closest to the Site first.

The star rating you have set for each Vendor will be displayed below their name, allowing you to select your top performers.

This Vendor rating and coverage can be set by selecting a Vendor from your list, located in List Manager/Vendors.

Making sure your Vendors have a clear Job Description.

When creating a new Work Order to be serviced, providing every detail on the work is key. Make sure to include all the instructions needed to complete the task and any attached references that can help.

This description will reach the Vendor verbatim in an email or directly in their Vendor Portal, including the reference documents you have attached: pictures, plans, or documents for the Client’s signature and approval.

In-house Technicians or external Vendor Techs using the Sweven mobile app will receive the same information directly to their mobile device.

A clear job description will allow Vendors and Technicians to bring the necessary equipment for the job and to keep in mind the expected delivery date.

Keep Vendors and Technicians informed and updated.

Vendors and Technicians can report directly from the field using Sweven Notes.

You might be using SMS or email to receive pictures or documents from Vendors or Technicians, but this information tends to be dismissed as soon as the work is complete. Sweven will keep a registry of this information and will keep it attached to the work order for present or future reference.

Notes can also be used to update Technicians and Vendors on any new information or requirements and can be used for reminders and confirmation. These Notes can be sent to Technicians or Vendors only, depending on who needs to be updated.

Provide accurate Site location and navigation options.

Technicians using the Sweven mobile app are provided with the Site location and the option to get there using their preferred map or navigation app.

This location is set by selecting a Site from your Site list, located in List Manager/Sites, and providing an address or dropping a pin on the provided map.

Combining all these tools and options, you can guarantee:

Clear information and instructions on the work to be performed will reach the Vendor and Technicians reliably.

Information is managed and stored in the Sweven platform without the need for third-party applications and will stay available for reference and verification at all times.

Sites can be reached without Vendors and Technicians needing to guess or reach out to you for further details.

Communication lines are open and flowing between all the people involved. This communication is time-stamped and can be sent back and forth in many formats: text, pictures, documentation, and signatures.
